Planning An International Conference

What does it take to plan a conference people don’t just attend—but truly remember?
While working with the International Society of Political Psychology, I learned that great events are built on three key phases: definition, planning, and implementation.
My most memorable experience began with an invitation to host a conference in Paris—in the middle of winter, with snow covering the city. That’s where the definition phase started. I explored venues, hotels, and asked the essential questions: Who is this for? What are we creating? Why here?
Next came planning—where creativity mattered most. This wasn’t just about scheduling presentations. It was about designing meaningful experiences. Even a visit to the Eiffel Tower became more than sightseeing—we explored its political and historical significance, aligning every activity with the audience’s interests.
Because people don’t remember agendas.
They remember experiences.
Finally came implementation—where reality tests your plans. Travel delays, last-minute changes, unexpected problems—anything can happen. The key isn’t avoiding issues, but being ready for them. With backup plans and flexibility, challenges became manageable.
In the end, the conference succeeded not because everything went perfectly—but because it was thoughtfully designed and adaptable.
Great project management isn’t about control.
It’s about creating something meaningful—and making it work, no matter what.
